How to Reduce Email Quota
This document will detail where to find the settings to either more frequently delete emails from the server to prevent going over quota or getting close to it often, or to keep them on our server.

Outlook
1) Search Windows for ‘Control Panel’ and click it
2) Search Control Panel for ‘Mail’ and click it
3) Click ‘Email Accounts’ and double click your email address
4) Click ‘More Settings’ and go to ‘Advanced’
5) Under ‘Delivery’ you can choose to leave emails on the server or how often to remove from the server. Click the checkbox for the settings you want to use. (Note: you only need to ‘leave a copy of messages on the server’ if you use your email on more than 1 device)
6) Click ‘OK’, then ‘Next’, then ‘Finish’ to save your settings.
Windows Live Mail
1) Right click on your account on the left hand side of your email
2) Click ‘Properties’ and go to the ‘Advanced’ tab
3) Under ‘Delivery’ you can choose to leave emails on the server or how often to remove from the server. Click the checkbox for the settings you want to use. (Note: you only need to ‘leave a copy of messages on the server’ if you use your email on more than 1 device)
4) Click ‘OK’ to save your settings.
Mac Mail
1) Open your email and click ‘Mail’ at the top of your screen
2) Click ‘Preferences’ and then ‘Accounts’
3) Choose your account on the left hand side
4) Under ‘Account Information’ you can choose to remove from the server after retrieving a message and how often to do that.
Thunderbird
1) Right click on your email address on the left hand side and click ‘Settings’
2) Click ‘Server Settings’ under your account on the left
3) Choose if you want to ‘leave messages on server’ and for how long, or until you delete them. (Note: you only need to ‘leave a copy of messages on the server’ if you use your email on more than 1 device)
4) Press OK to save
iPhone Mail
1) Open the ‘Settings’ app
2) Tap ‘Accounts & Passwords’ and then tap your email account
3) Scroll down and tap ‘Advanced’
4) Under Incoming Settings tap ‘Delete from server’ and choose how often you want to clear emails from HuronTel servers.
Android Email
1) Tap on the 3 bars at the top left of your email
2) Tap on the settings gear/cog at the top
3) Select the account you want to change settings for
4) Scroll down to ‘Server Settings’
5) Find the setting ‘Auto delete from phone’ and choose if you’d like to delete from server or not.
Gmail App
1) Tap on the 3 bars at the top left of your email
2) Tap ‘Settings’ at the bottom
3) Tap on your account
4) Go to ‘Incoming Settings’ and find ‘Delete emails from server’ to change the drop-down to the setting you would like
